Activity 1: Project Management:

This activity is aimed at partner organizations and their staff with the aim of establishing internal rules, channels, quality assurance mechanisms, risk management, impact, dissemination and follow-up strategies. The success or failure of the entire project depends on the coordination and management activities of the project, as well as the achievement of the expected results in terms of impact on the people involved in the partner organizations and more generally on the target group identified during dissemination. Among the results of the activities we find the il Project and accounting-administrative management manual. It is an internal working document that will summarises the information contained in the official Erasmus+ programme documents, the Application Form, the partnership agreements and the grant contract, also describing: project summary, pillars and background, timetable and management activities (Results and activities/tasks), transnational and national contacts, organisational structure, reporting and financial procedures with insights on accounting and control, with attention to eligible costs.

Activity 2: Transnational Project Meeting:

Four transnational project meetings took place online e face-to-face, at the beginng, during and at the end of the project. The aim was to improve cooperation and communication between partners, developing planning and monitoring activities. Compared to what was planned, in the project implementation phase it was decided to hold only one meeting in person and the other three remotely. Sharing the results in each meeting ensured the development of the next phase of the project. In addition to the transnational meetings, the partners held online meetings every two months.

Activity 3: Mapping of Guidance Process:

In order to adapt the career guidance practices to the digital changes, the partnership followed a three phases process to conclude to the final path/flow-chart of the guidance activities, that incorporates digital tools and methodologies. The three phases refer to:

  • 1. Description of the path/flow-chart and representation of each phase of the guidance process as actually carried out within the partner organizations. Starting from the current procedures existing within the partner organizations in the provision of the guidance process as well as from the procedures, tools and service standards made available by the National Plans for Guidance and Social Inclusion (GOL Program in Italy and National Plan "Support for employment and social inclusion" in Greece), the output of this stage is the description of the path/flow-chart, analyzed within the partners, with evidence of the flows of the work process, in terms of inputs, activities and outputs, human and material resources, produced documents and handled archives (See Unit 1 of the Report).

  • 2. SWOT analysis of the flow-chart of Guidance process. The aim of this phase was to highlight the strengths, weaknesses, opportunities and needs of the mapped process and define the possible areas for improvement and revision thanks to the introduction of digital methodologies and tools, in line with the procedures and tools established by the Institutions of Active Labor policies (See Unit 2 of the Report).


  • 3. Elaboration of the ideal and final path/flow-chart. The final flow-chart is a revision of the one shared by the partner organizations based though on the results of the SWOT analysis carried out and the inputs coming from outside (National Guidance Plans, Labor market, Organizations, Person/ User). The result of this phase represents the starting point for the identification of the digital methodologies, procedures, tools that will be incorporated in the process, to make it more effective and that will make the VET professionals work easier and in line with the epoch’s demands. (See Unit 3 of the Report).

Activity 4: Development of Artificial Intelligence Module and Gamification Scenarios:

In order to adapt the career guidance practices to the digital changes, the partnership designed and implemented an expert system (web-oriented app) that, by exploiting artificial intelligence and gamification, is able to support guidance practitioners in their professional practice, i.e. in assessing in a correctly and effectively way the personal potential and skills of users, improving their quality standards and the related Essential Performance Levels. The steps followed were the following:

  • 1. Definition of the knowledge base (KB): definition of the Chatbot's decision trees and the Kiviat diagram guidelines (candidate’ attributes to be analysed in relation to the answers) (See Unit 1 of the Report).


  • 2. Game definition: definition of the game, the scenarios to be represented and the related semantics in the form of actions/directions. (See unit 2 of the Report).

  • 3. Chatbot and game design and implementation: This activity involves a first Alpha Release and related testing activities, with subsequent implementation and release of the Beta Release (Final Version). (See Unit 3 of the Report).

The realisation of the expert system and the digital gamification scenarios constitute a concrete response to the partners' needs, to:

  • evaluate the user on a behavioral level in order to understand their professional aptitudes and inclinations
  • carry out the analysis in a general context, not limiting the tool to a mere survey, but acquiring feedback on questions that aim to highlight the know-how
  • verify ethical and behavioral sustainability aspects with situational tests, which measure user attitudes towards these aspects.

Activity 5: Data Monitoring and Analysis:

In order to test and experiment the digital tools created, the partnership realised three tasks/activities to obtain immediate feedback, essential for verifying the level of satisfaction of the target group and the adherence of the tools created to the needs of those who are called upon to use them in their daily work practice.

The three tasks/activities refer to:

  • 1. Artificial intelligence module' Beta release testing, involving in each partner country 15 career guidance and training professionals. (See Unit 1 of the Report).


  • 2. Performance Analysis, through Net Promoter Score NPS to evaluate satisfaction of the operators involved in the testing phase. (See Unit 2 of the Report).


  • 3. Drafting of the final report, evaluating the testing activities and analysing operator satisfaction in order to review Digital Tools, on the basis of the results obtained.

Activity 6: Interactive Guide development::

In this activity the User Manual/Guide of the developed Artificial Intelligence Module was created. It was developed through an interactive method (web) that will allow administrators/counselors both to simulate the real-time implementation of the Chatbot interactions in order to create and manage the knowledge base appropriately and to learn how to insert the backend side of the platform.

The steps followed were the following:

  • 1. Development of Interactive manual /guide on web platform.


  • 2. Development of Operating Instructions for Gamification Scenarios as a support tool for both the professional and the user in order to correctly apply and interpret the results.
